Privacy Policy
Wexar CRM ("Wexar") is a sales CRM for pool professionals, operated by Swimming in Sales, LLC, 13345 Stone Pond Drive, Jacksonville, FL 32224 ("we", "us"). This policy explains what Wexar collects, how it is used, and who handles it. Questions: russ@swimminginsales.com.
1. What Wexar collects
- Your account: your name, email address and sign-in details, your business name and territory.
- Your CRM data: the contacts, deals, notes, to-dos, calls and texts you log, and the settings you choose.
- Email and calendar, if you connect them: when you connect Microsoft Outlook, Wexar reads your mail (including message text), can send mail you write in Wexar, and reads your calendar. When you connect Google Calendar, Wexar reads your calendar (read-only). Email you read in Wexar is shown to you; Wexar keeps the parts you save to a contact.
- Calls and texts from your phone, if you install the Wexar Phone app: for each call, the number, direction and length; for each text, the number, direction and the message. The app sends only what happens after you save your key. Your key is yours; Wexar stores only a scrambled form of it.
- Recordings, if you use the Record screen: the audio you record and the transcript made from it.
- Payment details: handled by Stripe. Wexar does not store card numbers.
2. How it is used
- To run Wexar for you: show your contacts and their history, send and read email you ask it to, log your calls and texts, and keep your pipeline.
- AI features. Cornelius (Wexar's AI coach), the summaries and to-dos written from your texts, and the reading of recorded conversations send the relevant text to Anthropic's Claude to produce the result. Recordings are first turned into text by AssemblyAI. We use these providers' business services to produce your results, not to build our own models.
- To send you the account emails and the morning briefing you ask for.
- To keep Wexar secure and working.
3. Who handles your data
We do not sell your personal information. We share it only with the services that run Wexar:
- Supabase — database and sign-in.
- Render and Netlify — hosting of the app and website.
- Microsoft and Google — the mail and calendar accounts you connect.
- Anthropic — AI features described above.
- AssemblyAI — turning recordings into text.
- Stripe — payments.
We may disclose information if the law requires it.
4. Google user data
Wexar's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Calendar data is used only to show your day in Wexar. It is not used for advertising and is not transferred to anyone else except as needed to provide Wexar to you.
5. Your control
- You can switch the text summaries off on the Calls screen, disconnect Outlook or Google, uninstall the Wexar Phone app, and delete contacts and notes in Wexar at any time.
- You can make a new phone key (which stops the old one working) from the Calls screen.
- To have your account and data deleted, or to get a copy, email russ@swimminginsales.com.
6. Your customers' information
The contacts you put in Wexar, and their calls, texts and emails, are your business records. You are responsible for having the right to store them and for following the laws that apply to your calls, texts and recordings, including notice and consent rules where you are.
7. Security and retention
We use reasonable technical and administrative safeguards, including separate sign-in for each user and access limits so one account cannot read another's data. No system is perfectly secure. We keep your data while your account is open and delete it when you ask, except what we must keep by law.
8. Children
Wexar is for business use and is not directed to anyone under 18.
9. Changes
If we change this policy we will update the date above and, for significant changes, tell account owners by email.
